Key Responsibilities
Calendar & Meeting Management
o Coordinating with attendees on meetings and managing meeting calendars
o Following up and scheduling finalized meetings, liaising with stakeholders
o Organizing transportation and taking meeting notes for online meetings
o Liaising with stakeholders
Travel Management
o Flight scheduling & bookings, and hotel reservations
o Organizing airport transfers and restaurant reservations
Expense Management
o Processing invoices, refunds, and reimbursements through ERP platforms
o Coordinating with stakeholders for approvals
o Handling credit card settlements and managing online purchases
Other Admin Support
o Documenting processes based on preferences and priorities
o Collating reports and entering data into the ERP systems
o Other day-to-day Operational support
Key Competencies
o Under-Graduate/ Graduate or equiv. qualification
o 2-4 years of experience as executive assistant preferably in the banking or financial services sector
o Excellent written and spoken communication skills in Japanese, Mandarin and English with experience in client relationship management
o Should be able to work independently with minimal guidance as the job requires working with senior leadership team at the client’s end
o Excellent communication and interpersonal abilities to engage with a global team
o Should be well versed with MS Office suite specially Outlook, Microsoft Excel, Power Point, Word, etc.
o Experience ERP tool like Workday, NetSuit, MS Dynamics, etc.
o Working knowledge of travel and expense management
