Essential Responsibilities :
Parental Liaison & Communication
1. Serve as the first point of contact for parents—handling reception duties, phone, email, and in-person enquiries from current and prospective families.
2. Respond to all parent queries promptly and professionally.
3. Coordinate entry and exit interviews between families and the Principal; assist in the scheduling of MAP tests.
4. Record and track all parent enquiries or concerns and escalate relevant issues to the School Principal and Marketing Manager.
5. Provide translation support during PSA meetings, parent-teacher conferences, and other school events as needed.
6. Monitor student well-being and academic progress; proactively facilitate communication between the school and families.

Promotion and Marketing Support
1. Assist with planning and executing annual school promotional events in accordance with the marketing calendar and allocated budget.
2. Support the production and distribution of school-branded materials in collaboration with the Marketing Manager.
3. Represent the school at external enrollment events and exhibitions to promote student admissions.

Event Coordination
1. Open Day:
o Prepare all necessary materials and logistics.
o Coordinate with departments to ensure classrooms, facilities, and promotional content are ready.
o Welcome and guide visiting families, providing clear information about the school’s programs and culture.
2. Trial Day:
o Ensure visiting students receive a warm welcome and are integrated into class routines smoothly.
o Liaise with teaching staff to follow the schedule and provide feedback to prospective families afterward.
o Track and report on the outcome of each trial experience.

Administrative Support
1. Maintain and regularly update student records, class lists, and communicate changes to relevant staff.
2. Manage admission and withdrawal documentation with accuracy and confidentiality.
3. Coordinate with the Accounts Department regarding fee notifications, receipts, and payment tracking.
4. Monitor daily attendance through Managebac and follow up promptly with parents regarding absences.

Transport Coordination
1. Liaise with the school’s Transport Coordinator to ensure student transportation runs smoothly and efficiently.
2. Communicate with parents about transport arrangements, delays, or changes.

Uniform Support
1. Assist parents with the school uniform ordering process.
2. Coordinate with the Accounts Department to facilitate uniform payments and provide relevant information to families.
Qualifications:
1. Minimum of Diploma in Marketing or relevant field
2. At least 5 years of related work experience
3. Fluent in Japanese
4. Fluent in written and spoken English
5. Proficiency in Microsoft Office applications is essential in this role
6. Good communication and presentation skills
7. Willing to work under pressure
8. Prior work experience in a school environment will be most preferred
